The Law Department handles all matters of legal matters for the city, including litigation, legal advice, contracts, legislation, and enforcement. The Confidential Secretary plays a key role in advancing the mission of the Law Department by supporting the city’s attorneys (“solicitors”) and maintaining their own portfolio of law-related responsibilities.
Essential Job Functions:
- Provide support and assistance to the litigation assistant attorney in organization and preparation of litigation files.
- Organize and maintain confidential records
- Track, analyze, and report on litigation development and docket updates
- Assist the City’s attorneys in supporting City Hall representatives and departments through the litigation process, including but not limited to arranging preparatory sessions and compiling discovery
- Liaise with various stakeholders concerning the city’s insurance claims
- Research applicable state laws/rules and regulations by request
- Provide support and assistance to the City’s attorneys in their provision of legal advice and counsel to City Hall Administration and Departments
- Manage the city’s boards and commissions portfolio, including coordinating meetings, tracking appointments, administrative support, and other duties
- Manage the circulation of documents across city hall and/or with outside parties
- Answer calls to the Law Department and direct inquiries appropriately
- Provide administrative support to solicitors
- Perform related work as may be required
Required Training, Experience, Knowledge, Skill, and Abilities:
- Education: High school diploma or equivalent required. Associate’s degree or higher, and/or additional coursework or certifications, in a relevant field is preferred.
- Experience: 2+ years office experience is preferred.
